Rooming List
A rooming list is the roster a group organiser sends a hotel naming every guest in the block, along with arrival and departure dates, room type and sharing arrangements, so the hotel can assign rooms before arrival.
Rooming lists govern group business — weddings, conferences, tour series, crew contracts and corporate events. The hotel holds a block of rooms, and the list converts that block into named reservations, usually against a cut-off date after which unsold rooms are released.
They arrive in whatever format the organiser happens to use: a spreadsheet, a PDF, or the body of an email. Someone at the hotel then re-keys them into the PMS, which is where most group-arrival errors originate — misspelt names, wrong sharing pairs, missed date changes.
Changes continue right up to arrival, and each revision has to be reconciled against what was already entered. The work is high-volume, deadline-bound and almost entirely mechanical.
Reading an inbound rooming list, reconciling it against the block and writing the reservations into the PMS is a document-to-system task an agent can do end to end, with the changes held for review.
