Property Management System

PMS

A property management system (PMS) is the core operational software of a hotel. It holds the reservations, room inventory and guest folios, and runs the front-desk workflow — check-in, room assignment, housekeeping status, billing and the night audit.

Almost every other system in a hotel connects to the PMS. The channel manager and booking engine write reservations into it; the point of sale posts restaurant and bar charges to guest folios through it; door locks, revenue tools and guest messaging platforms read from it. That makes the PMS the operational source of truth — who is in-house, which rooms are clean, and what each guest owes.

Hotels have been moving from on-premise systems installed on a server at the property to cloud platforms such as Mews, Apaleo and Cloudbeds, and to cloud versions of long-established systems like Oracle OPERA. The practical difference is integration: cloud systems generally expose open APIs, so connecting a new tool no longer requires a custom interface for each one.

Replacing a PMS is one of the most disruptive projects a hotel undertakes, because staff training, integrations and historical data all depend on it. Most hotels keep theirs for many years and add capability around it rather than replacing it.

Venli runs on top of the PMS rather than replacing it. Agents read and write through the same integrations as your other systems, with Mews, Oracle OPERA, Apaleo and 100+ others supported.

Frequently asked questions

What is a PMS in a hotel?

A PMS (property management system) is the software a hotel runs its operations on. It holds reservations, room inventory and guest folios, and handles check-in, room assignment, housekeeping status, billing and the night audit. Most other hotel systems — channel manager, point of sale, door locks, revenue tools — connect to it.

How do you integrate a hotel PMS with a channel manager?

Through a two-way interface, usually certified by both vendors. The channel manager reads room types, rates and availability from the PMS and pushes them to each booking channel, and reservations flow back into the PMS automatically. Rate plans and room types must be mapped carefully on both sides, since mapping errors are a common cause of overbookings and parity breaks.

What does PMS stand for in hotels?

PMS stands for property management system. In hotels it means the central operational software — examples include Oracle OPERA, Mews, Apaleo and Cloudbeds — rather than property management in the real-estate sense, where the same term describes software for managing rental buildings and tenants.

What is a PMS for a small hotel?

For a small hotel, the PMS is often the whole technology stack: many cloud systems built for smaller properties bundle a booking engine, channel manager and payments alongside reservations and front-desk tools. That trades some flexibility for simplicity, which helps when nobody on staff has time to manage several separate systems.
