Hotel Folio

A hotel folio is the itemised account held against a guest’s stay, recording every charge and payment — room, tax, food and beverage, and incidentals — from check-in through to final settlement.

The folio is the financial spine of a stay. Every posting from every outlet lands on it, and the closing balance is what the guest settles at departure. It is also the document most often disputed, which is why accuracy at posting time matters more than corrections afterwards.

A single reservation can carry several folios: one billed to the company, one to the guest for incidentals, and a third for a group master account. Splitting charges correctly across these is a routine but error-prone piece of front-office work, particularly with group and corporate business.

Folios are reconciled during the night audit, when the day’s postings are closed and room and tax charges are applied. Discrepancies found there are far cheaper to fix than the ones a guest finds at checkout.

What is a folio balance in a hotel?

The folio balance is the outstanding amount on a guest’s account at any moment: everything posted to the stay, less anything already paid. It is reconciled during the night audit, when the day’s postings close and room and tax charges are applied.

How do you get a hotel folio?

Ask the front desk or the hotel’s reservations team, either at checkout or afterwards by email, quoting the reservation number and dates. A single reservation can carry several folios — one billed to a company, one to the guest for incidentals — so specify which you need.
